Responsibilities for Available Positions

  1. Reports, and serves as the primary contact to the Advisor and Student Involvement
  2. Takes overall responsibility for the club’s activities
  3. Calls and chairs the general meetings and any special meetings
  4. Submits an annual report to the advisor(s) of the organization prior to the end of each academic year
  5. Organizes and supervises officer elections for the following academic year
  6. Addresses the faculty advisor and College of Science faculty and staff, dealing with any questions, concerns, or comments.
  1. Creates and oversees club budget; applies for SFB funding
  2. Keeps records of all financial transactions
  3. Pays any bills; Stays in contact with the Office of Student Involvement Budget Manager
  4. Leads organization in finding and contacting potential corporate and community sponsors.
  5. Coordinates and strategizes fundraising and sponsor correspondence with secretary, and solicitation with primary faculty advisor / College of Science Web Strategist, president, and marketing coordinator
  6. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president and primary faculty advisor

Please note: Before June 15, 2018, the new treasurer must complete Student Involvement’s online Training (25live, GetConnected, RSO 101, RSO 201, RSO 301).

  1. Keeps accurate records and copies of meeting minutes, correspondence, all administrative and official forms, and records of membership
  2. Drafts correspondence with other individual officers in relation to their duties
  3. Takes minutes for all e-board meetings and sends them, and announcements of upcoming board meetings, programs, and events, to club officers and advisors; maintaining Trello.com board, Google Drive documents, and Slack membership
  4. Collects, organizes, and continually updates information on active members, officers, presenters, the email account, and digital asset management
  5. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president
  1. Responsible for coordinating additional Science Slam hosted/affiliated events (general body meetings and additional events geared towards the general body membership such as on-campus conferences) with all sponsoring and/or partnering entities
  2. Works in conjunction with the volunteer coordinator, marketing coordinator and VPs to accomplish this duty
  3. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president
  1. Responsible for coordinating Science Slam competition events (this will include Prelim Slam and Grand Slam activities) with presenters, judges, and all sponsoring and/or partnering entities
    1. Primary contact for information and coordination with interested presenters for science slams
    2. Collects and reviews submissions for science slams
    3. Chairs committee for participant selection if needed to accomplish duties
    4. Communicates selection results with participants, and corresponds with them on information that is needed for the event
  2. Works in conjunction with the volunteer coordinator, marketing coordinator to accomplish this duty
  3. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president
  1. Responsible for recruiting and coordinating volunteers for events including: alumni/industry judges, sponsor representatives, and day of event assistance
  2. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president
  3. May retain marketing coordinator, volunteer coordinator, and/or webmaster duties in the case that those positions are vacant.
  1. Finds appropriate volunteers to create flyers, take photos, and conduct any other related tasks if needed; chairs committee if necessary to accomplish duties
  2. Updates all social media outlets, and marketing material distribution throughout the University and the greater community (i.e. advertising to student body, alumni, industry, greater Fairfax and Northern Virginia community)
  3. Chairs marketing committee if needed to accomplish duties
  4. Works in conjunction with the webmaster to accomplish duties
  5. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president, advisor, and College of Science Marketing and Communications team
  6. May retain marketing coordinator, volunteer coordinator, and/or webmaster duties in the case that those positions are vacant.

  2. Works in conjunction with all officers and VPs to accomplish duties
  3. Votes on any policy and decisions that need to made for the organization during e-board meetings; reports to the president, advisor, and College of Science Marketing and Communications team
  1. Provides connection to affinity group via advertisement opportunities, garnering interest in participating as a presenter, and spreading enthusiasm to attend competition events, volunteer for outreach, and attend g-body meetings
  2. Represent the interest of the general body in their recommendations to the e-board
  3. Works in conjunction with all officers and VPs to carry out their duties; reports to the appropriate officer.

Special Affinity Representatives are non-voting members of the e-board, but do attend e-board meetings.
